How does jurying work?
Jurying in EntryThingy allows you to have multiple reviewers evaluate submissions and vote on entries or pieces. This guide covers the complete jury workflow from setup to completion.

The jury system lets you: - Assign multiple jurors to review submissions - Have jurors vote on entries or individual pieces - Track voting progress and see scores - Use multiple voting rounds to narrow down selections - Hide artist information in blind jury mode - Bookmark entries for later review
Setting Up Jurying
1. Add Jurors to Your Call
Before jurors can review entries, you need to assign them to your call. See How do I add jurors to a call? for detailed instructions.
Quick steps: - Go to your call's detail page - Navigate to the "Admins & Jurors" section - Add jurors by email address - They'll receive login credentials and can access the call
2. Configure Jury Settings
When creating or editing your call, configure these jury settings:
- Vote for each: Choose whether jurors vote on entire entries or individual pieces. See What's voting per entry vs. voting per piece? for details.
- Blind jury: Enable to hide artist names and contact information from jurors. See Blind jurying complete guide for comprehensive information.
- Vote categories: Set up multiple voting criteria (e.g., "Technical Skill", "Creativity", "Overall Impact")
- Point range: Configure the scoring scale (e.g., 1-10, 0-5)
3. Set Entries to "Show to Jury"
Only entries with status Show to Jury are visible to jurors. Before jurors can start reviewing:
- Go to your Entries page
- Select entries you want jurors to review
- Use bulk update to change their status to Show to Jury
Important: Entries with any other status (Submitted, Accepted, Not Accepted, etc.) are hidden from jurors. This gives you control over what jurors see.
How Jurors Access and Review
Logging In
Jurors log in using the same login page as administrators, but they'll only see calls they've been assigned to. Once logged in:
- They see a list of calls they're assigned to jury
- Clicking on a call takes them to the jury review interface
- They can only see entries with status Show to Jury
The Jury Interface
The jury interface provides:
- Grid or Detail View: The view depends on your voting mode:
- Voting by Piece: Shows a grid of individual pieces
- Voting by Entry: Shows complete entries with all pieces together
- Search and Filters: Jurors can search by entry ID, description, or notes, and filter by category, voting status, bookmarks, and score ranges
- Progress Tracking: Shows how many entries/pieces have been voted on and overall progress
- Score Distribution: Visual representation of how votes are distributed across point values
- Bookmarking: Jurors can bookmark entries or pieces to review later
Voting Process
- Review Entry/Piece: Jurors click on an entry or piece to see full details, images, and information
2. Cast Vote: Using the voting interface, jurors assign points based on the configured vote categories 3. Save Vote: Votes are saved immediately and can be changed at any time 4. Track Progress: The interface shows which items have been voted on and which still need review
What Jurors See
In Blind Jury Mode: - Artist names are hidden (shown as "Entry #123") - Contact information is hidden - Profile statements are hidden - Artwork and entry descriptions are visible - Admin notes are visible
In Regular Mode: - All artist information is visible - Contact details are shown - Profile statements are displayed - Everything admins see (except voting results from other jurors)
Note: Admins and entry owners always see full information, even in blind jury mode.
Voting Modes
Voting by Entry
When configured to vote by entry: - Jurors vote on the entire entry (all pieces together) - One vote applies to all pieces in the entry - Useful when evaluating entries as cohesive bodies of work - See What's voting per entry vs. voting per piece? for more details
Voting by Piece
When configured to vote by piece: - Jurors vote on each piece individually - Each piece receives its own score - Useful when pieces should be evaluated independently - See What's voting per entry vs. voting per piece? for more details
Multiple Voting Rounds
EntryThingy supports multiple rounds of voting to progressively narrow down selections. The process works by changing entry/piece statuses between rounds. See How does Multiple Voting Rounds work? for a complete guide.
Basic process: 1. Set entries/pieces to Show to Jury for round 1 2. Jurors vote 3. Review scores and change statuses of eliminated items 4. Jurors only see items that still have Show to Jury status 5. Repeat for additional rounds
Viewing Results
For Administrators
- Entries/Pieces Lists: Sort by points to see highest-scoring submissions
- Statistics Dashboard: View comprehensive statistics including acceptance rates, category breakdowns, and voting activity. See How to view call statistics for details.
- Individual Entry Pages: See all votes cast on each entry/piece
For Jurors
- Score Distribution: See how votes are distributed across point values
- Progress Tracking: Monitor their own voting progress
- Their Own Votes: Can see and modify their own votes, but not votes from other jurors
Common Workflows
Standard Single-Round Jurying
- Set up call with jury settings
- Add jurors
- Set entries to Show to Jury
- Jurors review and vote
- Review scores and make final decisions
- Update entry statuses (Accepted, Not Accepted, Waitlist)
Multi-Round Jurying
- Set up call with jury settings
- Add jurors
- Set all entries to Show to Jury for round 1
- Jurors vote on round 1
- Review scores and eliminate entries (change status to Not Accepted or Group A-E)
- Remaining entries stay as Show to Jury for round 2
- Jurors vote again (or clear votes and re-vote)
- Repeat until final selections are made
Blind Jury Process
- Enable blind jury in call settings
- Add jurors
- Set entries to Show to Jury
- Jurors review without seeing artist names
- After voting, admins can see full artist information when making final decisions
Troubleshooting
Jurors can't see entries: - Check that entries have status Show to Jury - Verify jurors are assigned to the call - Ensure the call is published and active
Jurors can't vote: - Check that voting is enabled in jury settings - Verify the jury end date hasn't passed (if set) - Ensure vote categories and point ranges are configured
Votes aren't saving: - Check internet connection - Try refreshing the page - Clear browser cache if issues persist
Jurors see different entries: - This is normal—jurors only see entries with status Show to Jury - Use status changes to control what jurors see in each round
