How do I add jurors to a call?

There are two ways to add a juror: through Admins & Jurors (platform-wide, you set their password), or with an email invite from a specific call's Jury Settings (works even for people brand new to EntryThingy — they set their own password).

Option 1: Admins & Jurors (platform-wide)

Step 1: Add jurors to your platform

  1. Click Admins & Jurors in the top navigation
  2. Click Add User
  3. Enter the juror's email address
  4. Set the permission level to Juror
  5. Click Continue

If the email is new to EntryThingy, you'll be asked to enter the juror's name and set a temporary password for them. If they already have a juror or admin account, they'll be added to your platform right away.

Step 2: Assign them to a call

Being added to your platform doesn't automatically give a juror access to every call — you still need to select them for each call individually:

  1. Open the call and go to Jury Settings
  2. Under Jurors for this call, turn on the toggle for each juror you want reviewing this call
  3. Save

Once assigned, jurors can log in and click on any call they're assigned to that has entries set to "Show to Jury" to begin voting. Jurors can only see entries with the "Show to Jury" status — they can't see draft or submitted entries until you move them to jury review.

Option 2: Invite by email (per call)

From a call's Jury Settings, use the Invite a juror by email box to send someone a direct link to review that call:

  1. Open the call and go to Jury Settings
  2. Enter their email in the Invite a juror by email box and click Send Invite
  3. They'll get an email with a link — clicking it either logs them straight into that call's jury view (if they already have an eligible account) or walks them through setting up a password first

This is the fastest option for someone who isn't on EntryThingy yet, and it assigns them to that specific call automatically — no separate Jury Settings toggle needed. If they haven't clicked the link yet, you can click Resend next to their email at any time — it's the same button, so there's no separate "resend" step.

"This is an artist account" error

Each EntryThingy login supports one role, so an email that's already registered as an artist account can't also be a juror. If you see this error, add the juror with a different email address. A simple option for Gmail users: an alias like theirname+juror@gmail.com delivers to the same inbox but counts as a separate address.

Managing juror access

  • Multiple jurors per call: You can add as many jurors as you need — they each vote independently
  • Removing a juror: Go to Admins & Jurors, find the juror, and remove them. Their existing votes are preserved
  • Juror vs. Admin: Jurors can only vote and view entries. Admins can also edit entries, change statuses, and manage call settings
