Getting started with jurying: A complete walkthrough

This guide walks you through the complete jurying process — from setting up your call for jury review to announcing results.

Step 1: Configure jury settings

Before jurying begins, set up how you want voting to work:

  1. Go to your call's Edit page
  2. Open the Juror Settings section
  3. Configure these options:

Voting mode: - Vote per entry — Jurors see each artist's full submission and cast one vote for the entire entry. Best for calls where the group of works matters. - Vote per piece — Jurors vote on individual artworks independently. Best for calls where you're selecting specific pieces.

Scoring range: - Set the point range jurors can give (e.g., 0–4 points, 1–5 points)

Voting categories (optional): - Add named categories like "Creativity," "Technical Skill," or "Relevance" - Each category gets its own score, and totals are combined - If you don't add categories, jurors see a single "Points" score

Blind jury (optional): - When enabled, jurors see "Entry #123" instead of the artist's name - Hides artist identity, statements, and contact info

Jury instructions: - Add guidance for your jurors (evaluation criteria, what to look for, etc.)

Step 2: Add jurors

  1. Go to Platform PreferencesTeam Members
  2. Add team members with the Juror role
  3. Each juror will receive login credentials

Jurors only see calls they're assigned to and can only view entries marked "Show to Jury."

Step 3: Move entries to jury review

Once submissions close, you need to select which entries jurors should review:

  1. Go to your call's Entries page
  2. Select the entries you want jurors to see (use checkboxes for bulk selection)
  3. Change their status to "Show to Jury"

What "Show to Jury" means: - The entry becomes visible in the juror's voting interface - Artists do not see this status change — to them, the entry still appears as "Submitted" - Only entries with this status appear in the jury view

Tip: You can move entries to jury in batches. For example, filter by "Submitted" status, select all, and bulk-update to "Show to Jury."

Step 4: Jurors vote

Once entries are set to "Show to Jury," jurors can begin:

  1. Jurors log in at your platform URL
  2. They click on the call to open the jury view
  3. They see entries in either Grid View (piece voting) or Detail View (entry voting)
  4. For each entry or piece, they select a score for each voting category
  5. Their progress is tracked — they can see how many items they've voted on

Juror interface features: - Search and filter by category, voted/unvoted status, or score range - Bookmark entries to review later - Add notes on individual entries (visible to other jurors and admins) - Bulk voting — select multiple entries and apply the same score at once

Step 5: Review results and set final statuses

After all jurors have voted:

  1. Go to your call's Entries page
  2. Sort by Points (total score) or Votes (number of votes received)
  3. Review the scores and decide on acceptances
  4. Update entry statuses to Accepted, Not Accepted, Waitlist, etc.

You can do this individually or in bulk using the checkboxes and status dropdown.

Step 6: Notify artists

Once you've set final statuses, use the Emailer to notify artists of the results. You can send different messages based on status — for example, a congratulations email to accepted artists and a thank-you email to those not selected.
