How does Multiple Voting Rounds work?

EntryThingy supports multiple rounds of jury voting, allowing you to narrow down submissions progressively. The process works differently depending on whether your call is set to vote by Entry or by Piece.

Understanding Voting Modes

Your call's voting mode is set in the call settings under Jury SettingsVote for each. This determines whether jurors vote on entire entries (all pieces together) or on individual pieces separately.

How Statuses Control Visibility

What jurors can see is controlled by entry and piece statuses:

  • Entries: Only entries with status Show to Jury are visible to jurors. All other entry statuses are hidden.
  • Pieces: When voting by piece, jurors only see pieces with status Submitted, Accepted, or Rejected. Pieces with status Waitlist or Group A-E are hidden from jurors.

Multi-Round Voting Process

Voting by Entry

  1. Round 1 Setup: Set all entries you want jurors to review to status Show to Jury. You can do this individually on the Entries page or use bulk selection to update multiple entries at once.
  2. Jurors Vote: Jurors review entries and cast their votes. Each entry receives one vote regardless of how many pieces it contains.
  3. Review Results: After voting is complete, go to the Entries page and sort by Points to see which entries scored highest.
  4. Eliminate Entries: Change the status of entries you want to eliminate from the next round to Not Accepted or one of the Group A-E statuses. You can do this individually or use bulk selection to update multiple entries based on their point totals.
  5. Next Round: If jurors need to clear their votes and vote again, they can use the bulk voting feature in the jury interface to clear their own votes for specific entries. Jurors will then only see entries that still have status Show to Jury.
  6. Repeat: Continue this process for as many rounds as needed.

Voting by Piece

  1. Round 1 Setup: Set entries you want jurors to review to status Show to Jury. Then go to the Pieces page and ensure all pieces you want jurors to see have status Submitted.
  2. Jurors Vote: Jurors review entries and vote on each piece individually. Each piece receives its own vote.
  3. Review Results: After voting is complete, go to the Pieces page and sort by Points to see which pieces scored highest.
  4. Eliminate Pieces: Change the status of pieces you want to eliminate to Not Accepted or one of the Group A-E statuses. You can do this individually or use bulk selection on the Pieces page.
  5. Next Round: If jurors need to clear their votes and vote again, they can use the bulk voting feature in the jury interface to clear their own votes for specific pieces. Jurors will then only see pieces that still have status Submitted, Accepted, or Rejected.
  6. Repeat: Continue this process for as many rounds as needed.

Tips for Multi-Round Voting

  • Use Group Statuses: The Group A-E statuses are perfect for temporarily hiding pieces from jurors without changing their final status. For example, mark eliminated pieces as Group A in round 1, then they won't appear in round 2.
  • Bulk Updates: On both the Entries and Pieces pages, you can select multiple items and update their statuses all at once. This makes it easy to eliminate many items between rounds.
  • Juror Vote Clearing: Jurors can clear their own votes using the bulk voting feature in the jury interface. They select the items they want to clear votes for and click the clear button. This is useful if you want them to re-vote on remaining items.
  • Status Visibility: Remember that jurors only see entries with status Show to Jury and pieces with status Submitted, Accepted, or Rejected. Any other statuses are hidden from jurors.
