Platform Preferences and Settings
Platform preferences control how your gallery appears, how artists sign up, how content is displayed, and various other platform-wide settings. These settings apply to all your calls and affect the overall experience for artists and administrators.
Accessing Platform Preferences
- Log in as an administrator
- Click "Preferences" in the navigation menu (under Tools)
- You'll see all available preference settings organized into sections
Note: Only administrators can access and modify platform preferences. Jurors don't have access to these settings.
Signup Settings
These settings control what information is collected when artists create accounts on your platform.
Contact Info Form on Artist Signup
Controls whether artists must provide contact information when signing up:
- Require: Artists must fill out contact information (address, phone, etc.)
- Allow skip: Artists can skip contact information if they choose
- Do not show: Contact information fields are not displayed at all
Use this to: Balance between collecting useful information and reducing signup friction.
Ask for Partner
When enabled, artists are asked to provide partner information during signup. This is useful if you need to know about collaborative partnerships or if artists often work with partners.
Ask for Business Name
When enabled, artists are asked to provide a business name during signup. Useful if you need to distinguish between individual artists and businesses.
Display Settings
These settings control how content appears throughout your platform.
Name of Your Organization
The name that appears on the public call list and in various places throughout EntryThingy. This helps artists identify your gallery when browsing calls.
Example: If your gallery is "Richmond Art Center," that name will appear next to your calls on the public list.
Sort Calls on Main Page By
Controls how your calls are ordered on your main calls page:
- Date created: Newest calls appear first
- Deadline Date: Calls with the earliest deadlines appear first
- Show Date: Calls with the earliest show dates appear first
- Manual: You can manually reorder calls (if supported)
Use this to: Organize your calls in a way that makes sense for your workflow.
Admin/Jury View Image Columns
Controls how many columns of images appear in the jury and admin views:
- 1 column: Images appear in a single vertical column (best for detailed review)
- 2 columns: Two columns of images side-by-side
- 3 columns: Three columns (default, good balance)
- 4 columns: Four columns (more images visible at once)
- 5 columns: Five columns (maximum density)
Use this to: Optimize your review workflow based on screen size and preference.
Notifications
Send Email Alert To
Enter email addresses (up to 5, separated by commas) that should receive automatic notifications when entries are submitted. These emails are sent immediately when an artist submits an entry.
Important: You'll be charged 1 token per 100 emails sent. See How do tokens work? for details.
Use this to: Keep your team informed about new submissions without having to constantly check EntryThingy.
Public Gallery Profile
If you've set up a public gallery URL, you'll see a link to your public profile page. This is the page that shows your current and past calls to the public. See What is the gallery public facing URL? for more information.
Domain Management
This section shows your primary domain and provides access to domain management. You can add additional domains that point to your EntryThingy platform. See domain management documentation for details on setting up custom domains.
Tips
- Save frequently: Changes take effect immediately after saving
- Test changes: After changing signup settings, test the artist signup flow to ensure it works as expected
- Review notifications: Make sure your notification email addresses are correct and monitored
- Be careful with JavaScript: Only add JavaScript code you understand and trust
Common Questions
Do these settings affect existing calls? Most settings apply platform-wide, so they affect all calls. However, individual call settings (like jury configuration) override platform preferences where applicable.
Can I change these settings anytime? Yes, you can modify preferences at any time. Changes take effect immediately.
Do jurors see these settings? No, only administrators can view and modify platform preferences.
What happens if I remove the organization name? Your calls will still appear on the public list, but without an organization name next to them. It's recommended to keep this filled in for clarity.
