What is the gallery public-facing URL?

Every gallery on EntryThingy has a public-facing profile page that showcases your organization and your calls. Think of it as your gallery's "homepage" on EntryThingy—a place where artists can discover your organization, see your current opportunities, and learn about your past exhibitions.

What Is It?

Your gallery's public profile page is a beautiful, automatically-generated webpage that displays: - Your gallery's name, location, and website - Current open calls (calls that are actively accepting submissions) - Previous calls (your past exhibitions for credibility) - An "About" section where you can share your gallery's story - Statistics showing your activity on EntryThingy

The best part? It's completely free and automatically maintained—as you create and manage calls, your profile page updates itself!

Finding Your Public URL

Your gallery's public profile URL follows this format:

https://app.entrythingy.com/{your-gallery-slug}/

The "gallery slug" is based on your platform's URL field. For example: - If your platform URL is acmegallery, your profile is at https://app.entrythingy.com/acmegallery/ - If your platform URL is artsalpharetta.org, your profile is at https://app.entrythingy.com/artsalpharetta/

To find your exact URL: 1. Log in as an administrator 2. Go to ToolsPreferences 3. Look for the "Public Gallery Profile" section 4. You'll see your public profile URL with a link to view it

What Appears on Your Profile Page

Gallery Header

At the top of your profile page, visitors see: - Gallery Logo — Automatically generated icon based on your gallery name - Gallery Name — Your organization name (from Platform settings) - Location — City and state (if you've set them in Preferences) - Website — Link to your main website (if you've added it) - Map — Google Maps embed showing your location (if you've added map coordinates)

Statistics Bar

Three key metrics that build credibility: - EntryThingy Calls in the Last Year — Total number of calls you've run - Active Calls on EntryThingy — How many calls are currently accepting submissions - Years Active on EntryThingy — How long you've been using the platform

Current Open Calls

This section shows up to 20 of your active calls that are currently accepting submissions. For each call, visitors see: - Call title (clickable link to the full call page) - Call description (truncated preview) - Deadline information - Show date (if set) - Entry limit (if set) - Categories (if your call uses categories) - A link to view and apply to the call

Which calls appear? Only calls that: - Have status "Active" - Have a deadline (regular or late) that hasn't passed yet - Are not hidden from public view

Note: If you have no active calls, visitors will see a friendly message: "No active calls at this time. Check back soon or view past exhibitions below."

About Section

If you've added an "About" description in your Preferences, it appears here. This is your chance to: - Share your gallery's mission and vision - Describe the types of art you showcase - Explain your submission process - Include any other information artists should know

How to add/edit: Go to ToolsPreferences → Look for the "About" or "Notes" field (this may be labeled differently depending on your setup).

Previous Calls

This section shows up to 10 of your past exhibitions, displayed in a clean grid format. For each past call, visitors see: - Call title (clickable link) - Call description (truncated) - Show date and location - How long ago the call ended (e.g., "3 months ago") - Artwork samples (up to 4 images from accepted entries, if available)

Which calls appear? Only calls that: - Have a show end date in the past - Are not hidden (status is not "Hidden") - Do not have "Public Page Disabled" set to true - Are ordered by most recent first

Why this matters: Showing your past calls builds credibility and helps artists understand your gallery's history and the types of exhibitions you run.

How to Update What Appears

Updating Gallery Information

To change what appears in the header and About section:

  1. Log in as an administrator
  2. Go to ToolsPreferences
  3. Update any of these fields:
  4. Organization Name — Changes your gallery name on the profile
  5. City — Your gallery's city
  6. State — Your gallery's state
  7. About/Notes — The description that appears in the "About" section
  8. Website URL — Your main website (if you have one)
  9. Map Coordinates — For the map display (contact support if you need help with this)
  10. Click Save

Changes appear on your public profile immediately!

Controlling Which Calls Appear

For Current Calls: - Calls automatically appear when they're active and accepting submissions - Calls automatically disappear when their deadline passes - To hide a call from the profile, set its status to "Hidden" or disable its public page (see below)

For Previous Calls: - Past calls automatically appear based on their end date - To hide a call from the "Previous Calls" section: 1. Go to the call's settings 2. Find the "Public Page Disabled" option 3. Enable it to hide the call from your profile page 4. Or set the call status to "Hidden"

Note: Even if a call is hidden from your profile page, it may still be accessible via direct link if someone has the URL.

Updating Your Gallery Slug/URL

Your gallery slug determines your public profile URL. To change it:

  1. Go to ToolsPreferences
  2. Look for the "Platform URL" or "Site Code" field
  3. Update it to your desired slug
  4. Click Save

Important considerations: - Your new URL will be: https://app.entrythingy.com/{new-slug}/ - The old URL will stop working (so update any links you've shared!) - Choose something memorable and relevant to your gallery name - Avoid special characters—stick to letters, numbers, and hyphens

Understanding Call Visibility

What Makes a Call "Active"?

A call appears in "Current Open Calls" if: - Its status is "Active" - It has a deadline (regular or late) that hasn't passed yet - It's not hidden from public view

Example: If your call's regular deadline is March 1st but you have a late deadline of March 15th, the call will appear in "Current Open Calls" until March 15th passes.

What Makes a Call "Previous"?

A call appears in "Previous Calls" if: - It has a show end date that's in the past - Its status is not "Hidden" - "Public Page Disabled" is not set to true

Note: Only the 10 most recent past calls are shown. If you have more than 10, only the most recent ones appear.

Hiding Calls from Your Profile

Sometimes you might want to hide a call from your profile page:

To hide from "Current Open Calls": - Set the call status to "Hidden" (this hides it everywhere) - Or wait for the deadline to pass (it will automatically move to "Previous Calls")

To hide from "Previous Calls": - Go to the call's settings - Enable "Public Page Disabled" - Or set the call status to "Hidden"

Why you might do this: - Test calls you don't want to showcase - Calls that were cancelled or had issues - Calls that are no longer relevant to your gallery's current direction

Troubleshooting

"I can't find my public profile URL" - Go to ToolsPreferences - Look for the "Public Gallery Profile" section - If you don't see it, make sure you're logged in as an administrator - Contact support if you still can't find it

"My calls aren't appearing on my profile" - Check that calls have status "Active" - Verify that deadlines haven't passed - Make sure calls aren't set to "Hidden" - Check that "Public Page Disabled" is not enabled
