Adding a custom message to your submission confirmation email
Every artist gets an automatic confirmation email the moment they submit to your call. You can now add your own note to that email — a coupon code for additional entries, a thank-you, or anything else you'd like every entrant to see right after they apply.
Where to find it
- Go to your call's settings (create a new call or edit an existing one).
- Open the "Advanced" section in the payment/entry-fee area.
- Find "Custom message in confirmation email" and type your note (up to 1000 characters — a counter shows how much room you have left).
- Save your call.
Note: This setting currently appears once your call has PayPal or Square connected as a payment method. If your call collects no payment at all, reach out to support@entrythingy.com and we'll help you get a message added.
Once set, the message goes out on every submission confirmation regardless of how (or whether) the artist paid.
How it appears to artists
Your message shows up right after "Your application is submitted," in its own highlighted box labeled "A note from the gallery," in both the email's plain-text and HTML versions. Line breaks in your message become separate paragraphs.
Your message is always shown as plain text — any HTML you type (like <b> tags) is displayed as literal characters rather than being rendered, so there's no risk of a formatting mistake breaking the email.
Leaving it blank
If you don't add a message, the confirmation email looks exactly like it always has — nothing changes for artists.
Common use
Coupon code for additional entries: Since the confirmation email fires immediately after every submission, it's a reliable way to encourage a second (discounted) entry:
Thanks for entering! Use code THANKS20 for 20% off any additional entries to this call.
Troubleshooting
"Artists say they didn't see my message" — Double check the message field was saved on the specific call (it's per-call, not platform-wide), and confirm the artist submitted after you added the message — it only applies to confirmations sent after the setting is saved, not retroactively to earlier submissions.
"My message shows the character count going over 1000" — The field caps at 1000 characters; trim your message and save again.
