How do I control who can see my call?

Understanding Call Visibility in EntryThingy

EntryThingy gives you control over who can see your call and when. Visibility is set with the status pill in the top-right of the call edit page.

The Status Pill — Four Choices

When editing a call, click the colored pill next to the title. You'll see four options, each with a one-line description of what it does:

  • Active — Public — on the public Calls List, link works, applications open. Use this for any call you want artists to discover.
  • Private — link only — link works and applications are open, but the call is kept off the public Calls List. Use this for member-only calls, invitations, or anything you'd rather share privately. Anyone with the direct link can apply.
  • Hidden — only gallery staff can preview the call. The public link 404/redirects, so artists can't see it or apply. Use this while you're still setting up, or to take a call offline temporarily. If you want a working direct link for artists, choose "Private — link only" instead.
  • Jury Only — visible only to assigned jurors. Use this once submissions are closed and you're in the jurying phase.

Other states you may see on the badge

These show up automatically based on the call's settings — you don't pick them from the dropdown:

  • Scheduled — you set a future publish date with the chevron next to SaveSchedule for…. The call will flip to Active — Public on that date.
  • Closed — the submission deadline has passed. Artists can no longer apply, but the call page still loads.
  • Draft — a brand-new call you haven't saved yet.

Quick Reference

To make your call visible to everyone: 1. Edit your call 2. Click the status pill (top right) 3. Choose Active — Public, or use the chevron next to Save → Publish now

To schedule your call for a future date: 1. Edit your call 2. Click the chevron next to Save → Schedule for…, pick a date 3. Status will switch to Scheduled and flip to Active — Public automatically on that date

To keep your call accessible only via direct link: 1. Edit your call 2. Click the status pill → choose Private — link only

To hide your call completely (no working public link): 1. Edit your call 2. Click the status pill → choose Hidden

To restrict the call to jurors only (typically post-deadline): 1. Edit your call 2. Click the status pill → choose Jury Only

"Hidden" vs "Private — link only" — what's the difference?

These are easy to mix up, so here's the short version:

  • Hidden turns the public link off. Anyone who tries to visit the call URL gets bounced — no one outside your gallery staff can see it or apply.
  • Private — link only keeps the public link working. The call just doesn't show up on the public Calls List or in our marketing. If you share the link with an artist, they can open it and apply normally.

If you want to keep a call unlisted but still let invited artists apply, choose Private — link only.
