What Emails Do I Receive as an Admin?

EntryThingy sends automated notifications to keep you informed about submissions, deadlines, and account activity, so you don't have to check the dashboard constantly. Here's what happens automatically.

Notifications You Receive as an Admin

Submission Activity

  • New entry alert: When an artist submits an entry to one of your calls. Includes the artist's name, call name, and a link to view the submission.
  • Entry changed: When an artist modifies a submission after it's been submitted (e.g., replaces an image or updates their statement).

Call Questions

  • New question: When an artist asks a question about one of your calls. You'll get an email so you can respond promptly.

Operational Alerts

  • Token warning: A daily alert for when your token balance is running low (9 or fewer tokens). Helps you avoid running out mid-call.
  • Download ready: When an export package you requested is ready to download.
  • Broadcast sent: Confirmation when a bulk email you sent to entrants has been delivered.

Emails Your Entrants Receive

When artists interact with your calls, EntryThingy sends them:

  • Submission confirmation: Immediately after they submit an entry. Includes the call name, entry number, and a link to view their submission.
  • Status notification emails: Only when you choose to send them using the email tool. EntryThingy never automatically emails artists about jury decisions — that's always your choice.

Your Onboarding Sequence

After you sign up, you'll receive a short series of helpful emails to get you started:

  1. Welcome email: Immediately after signup, with your login details
  2. Getting started (Day 2): Tips for creating your first call
  3. Best practices (Day 5): How to get the most submissions
  4. Advanced features (Day 10): Features like custom questions, payment setup, and juror accounts

These stop automatically once you create your first call.

Admin Outreach (Milestone Emails)

As your call progresses, you'll receive helpful reminders at key milestones:

  • After creating a call: Tips for promoting your call and getting submissions
  • 10 days before deadline: Status check with submission count
  • 3 days before deadline: Final push reminder
  • On deadline day: Deadline day notification
  • After deadline: Next steps for reviewing entries

These are designed to help you stay on track without having to remember dates.
