How to Use Entry Notes

Entry notes let you add internal comments and reminders about specific entries. They're perfect for tracking important information, coordinating with other reviewers, or keeping notes about why decisions were made.

Adding Notes

  1. Go to an entry's detail page
  2. Scroll to the "Notes" section
  3. Click "Add Note"
  4. Type your note and save

Who can add notes: Administrators and jurors can add notes to entries.

Editing Notes

  1. Go to a note
  2. Scroll to the edit icon
  3. Click it
  4. Type your edits and save

Who can edit notes: Administrators and jurors can edit notes to entries. Administrators can edit any notes on their platforms. Jurors can only edit their notes.

Viewing Notes

Notes appear on the entry detail page in chronological order (newest first). Each note shows: - Who wrote it (name of the admin/juror) - When it was written (date and time) - The note content

Who can see notes: All administrators and jurors on your platform can see notes. Artists cannot see notes—they're internal only.

Searching Notes

Notes are searchable! When searching entries in the jury interface or entries list, your search will also find entries that have matching text in their notes.

Use this to: Quickly find entries you've marked with specific keywords or information.

Deleting Notes

Only administrators can delete notes. To delete a note: 1. Go to the entry detail page 2. Find the note you want to delete 3. Click the trash icon next to the note 4. Confirm deletion

Note: Once deleted, notes cannot be recovered.

Common Uses

  • Track concerns: Note any issues or questions about an entry
  • Coordinate with jurors: Leave notes for other reviewers about what to look for
  • Document decisions: Record why an entry was accepted, rejected, or waitlisted
  • Flag for follow-up: Mark entries that need additional review or information
  • Internal communication: Share thoughts with your team without the artist seeing

Tips

  • Be specific: Write clear, actionable notes that will be useful later
  • Use keywords: Include searchable terms if you'll need to find entries later
  • Date important notes: If noting time-sensitive information, include dates in your note text
  • Keep it professional: Notes are internal but should still be professional and constructive
